How to run a productive board meeting

Good meetings make decisions and move on. These habits help boards cover what matters in about an hour.

Send the packet in advance

Share the agenda, financial report, manager’s report and any proposals a few days before the meeting. Directors should arrive having read them.

Use a clear agenda

  1. Call to order and confirm quorum
  2. Approve previous minutes
  3. Financial report
  4. Manager’s report
  5. Old business
  6. New business
  7. Homeowner comments, if your policy allows
  8. Adjourn

Decide by motion

For each decision, make a motion, discuss it briefly and vote. Record the outcome in the minutes, not the whole discussion.

Keep homeowner comments focused

Set a time limit per speaker and follow up on specific issues outside the meeting.

Follow up quickly

Within a few days, circulate draft minutes and a short action list showing who is doing what, and by when.
